I figure this is a long shot, but does anyone happen to know of a program that I can use to email appointment reminders to clients? My google fu has failed me on this one.
I am looking for something where when I fill out my calendar, it automatically sends a reminder to clients about their appointment. I have found services that do this, but they tend to offer more than I want, and are consequently expensive.
Any help with this will be greatly appreciated! I know there are other small business owners here, and I hope someone knows of one, or someone with better search skills than I have will help.
Can you be a bit more specific about what you want to accomplish?
For example, if I add an appointment to my calendar in Outlook, I can add external recipients and they’ll get the meeting request. By default, the format won’t be very attractive, admittedly.
Are you looking for something above & beyond this?
If both you and the other person use Outlook Exchange Server, this is easy to do - simply create an appointment and invite them by entering their email address in the Participants list. When they click Accept, it will create an appointment identical to yours in their calendar. If they don’t have Exchange Server, I think they get an email with the details of the appointment, but nothing else.
Thanks for the replies. To be more specific, I am trying to send email appointment reminders to clients. We are not all in the same company, we don’t have the same email server, and I have to be careful about privacy, so no group emails, etc. I want to be able to do this so that the emails are generated by a calendar, both for ease and so I can’t make mistakes typing someone’s email. Does that help?
Would you want the reminders to go out at the time you create or update the calendar entry, or at some predetermined interval prior to the appointment?
Brynda - Do you want me to come over and help you with the feature on Outlook? It should do what you want, and even encrypt it, if me research is correct. I told you this was the way to go.
