Exporting Outlook Email folders

For work-related reasons, I have received a number of Emails containing attachments that I have saved according to their place of origin in various folders. The attachments need to be sorted and stored, and preferably not by me; since I was the one downloading them, however, I received the eMails. I am now wondering if it is possible to export individual Outlook folders (Outlook 2007) and re-import them into a different copy of Outlook, so that I can spread the work between other people (and, at the same time, make a backup copy of the material). Is there any way to do this?

The easiest way to do this is just to drag the folder to a directory on your hard drive. It should show up as .msg files, which can be opened by Outlook just the same as if it were in your In Box. You can then drag selected files back into the other copy of Outlook.

You could probably also do File, Export to PST, then import on the other end.

I have done both in Outlook 2000 and 2003 but I don’t have Outlook 2007. I doubt it has changed.

Hhhm, that does not seem to work. I don’t even have an Export function in the list of possible Import/Export operations, and if I copy the folders, they appear as 1kb .xnk files. Possibly I’m doing something wrong, or else Outlook 2007 has changed.

Sorry, I made a mistake. I just tried it, and dragging a folder merely creates a shortcut back to Outlook (which is what I think your .xnk file is, double-click it to find out), which isn’t what you want. But grabbing and dragging a block of emails works fine. (Since you have multiple source folders, this technique may be a pain in the neck.) I have done this with large numbers of emails and found that it chokes at a certain point, but it’s well into the thousands.

The Export is accessed in Outlook 2003 by File, Import and Export, Export to a file, [Next], Personal folder file (.pst). I’m afraid I can’t be of help if 2007 is significantly different.

Another method is to create a .pst by going to File, New, Outlook Data File. Name and save it where you want, then you can copy or move the messages by dragging from one store to the other in the folder list. When you’re finished, right-click on the new folder tree and select “Close folder”. You can then move the .pst file anywhere you like.
