Outlook Calendar Question

I’ve exhausted all my resources trying to find a solution so now I turn to the boards to see if anyone can help me out.

I use Outlook at work to coordinate the schedules of up to five people at a time. We use a single calendar for everyone in a public folder. The problem I have, though, is that when using the day/week/month view you are limited to six appointments across horizontally. So this means if I have seven appointments that cover a concurrent time I will only see six of them. I can see all of them if I switch over to active appointments view, but this layout is not very intuitive and makes my brain 'splode if I have to work in it too long.

I need to be able to see at a glance what’s open, without too much digging. Most of the time I’m trying to make appointments on the fly with a couple people on hold and trying to answer an email at the same time, so simplicity is a must. Is there an alternative way to see more than six appts. across on the calendar? Or even a way to view the calendar on-screen the way the ‘calendar details’ view prints? Any other way to see everything that’s listed on the calendar for a single day?

From what I can figure out, you are using the Month view. I did a test with nine appointments and they are all visible in either Day, Week, or Work Week view. In Month view only the first six are visible. Are you able to use a view other than Month?

I tried changing the font for Month view from 8 point to 6 point and now eight test appointments show up. It’s hard to read them, though.

Under view, the only options I have are ‘Day/Week/Month’, ‘Day/Week/Month with AutoPreview’, ‘Active Appointments’, ‘Events’, ‘Annual Events’, ‘Recurring Appointments’ and ‘By Category’. I generally use the ‘Day/Week/Month’ view which shows me my daily events and the monthly calendar to the right.

Your test included nine appointments that are all at the same time, or span the same block of time? Even if I close out my folders list and reduce my monthly calendar the size of the window with daily appointments will expand, but I can still only see six across.

My test appointments were all all-day appointments. I am also not sure what you mean by “but I can still only see six across” - my appointments are listed vertically, not horizontally.

Is it possible for you to post a screen shot somewhere so we can see what you are talking about?

I have 8 appointments that all run through the 3-4PM hour, but only six show, from left to right. All day and recurring appointments will only show ten, any more than that and those are cut off too.

You are using Day view. Would the Week view work for you? It will show the whole calendar for the week. See how Day is highlighted in the buttons at the top? Try hitting Week and see if that view works for you.

Hmmm, I just did another test with 10 appointments from either 3-4 or 3-5 and all 10 show up going across. If I make the screen less wide they still all show up. There’s got to be a setting somewhere that I have clicked the opposite from what you do. Hmmm . . .

Yes, I’ve tried switching between the Day , Week and Month views. Still no change. This is driving me crazy! I know it’s probably just a setting that’s off somewhere but I swear I’ve looked everywhere to find it.

Is 800x600 your native screen resolution, or did you shrink the picture to post it online? I ask because I’m running at 1600x1200 and can fit at least 8 appointments across the screen horizontally and still read them. Try bumping up to 1024x768 (or higher) and see if that works better for you.

Changing the resolution of my screen has made no difference in the number of appointments viewable. Any other ideas?

The calendar in question is in a public folder, and no one who accesses the calendar (four of us, each on separate computers) can see more than six appointments at any one time. The only way we have at present to ensure we do not book something we shouldn’t is to go to view>active appointments. That’s an incredibly bulky way to work though, and it’s hard to see what appts are running concurrently.

I feel like I’m going crazy since no one else is having this problem!

So if you change the view to Week, you can only see six appointments listed vertically in any one day? No matter what the font size is?

If I change the view to week, for each day I can see eight appointments, with an indicator that there are more appointments for that day. When I click on the indicator I am taken to the day view again, where I can only see six concurrent appointments, L-R. Meaning, if I have 8 meetings all happening from 3-4PM, only the first six I enter in will show. The only way to view all 8 meetings is view by active appointment.
