I’m trying to save a meeting invite, going out to about 25 people, in an external documentation folder. No matter what I do, I can’t retain the invitees. Only my own email address shows up.
Ideally I’d like to be able to click on the file, or drag it to my calendar at a future date, and be able to send to all the invitees. Or for that matter, be able to give it to somebody else so that they can send the same invitation to the same people.
Please tell me there’s a way to do this. There should be a way to do this. :mad:
I’m not sure exactly what you’re trying to do, so this may not apply.
If you’re trying to save it to a filesystem folder (not in Outlook at all), do SaveAs and change the filetype to Template. Save it to your folder.
To use the template to create a new appt, click File/New/Choose Form. In the “Look In” box, change to “User Templates in File System” and browse to your folder. Click OK to see the list of templates.
Pick your template & OK to open the appt. Change as needed and save to Outlook.
(If you mean some kind of public folder in Outlook when you say “external documentation folder”, I got nothing.)
ETA: Oh yeah, I think you can doubleclick the template and it opens in Outlook. I don’t know about someone else using it, you’d have to test it. I’d think they should be able to but I’ve never tried.
ETA2: These instructions are for Outlook 2003. Older versions should be similar. 2007 you’re on your own.
In 2007, open the meeting invite on your calendar, do a Save As, and save as an *.ics. When you drag the .ics file to your calendar, it should pop up fine with all attendees in question on the list etc.
(I just tested with a meeting that I wasn’t the organizer for, so that should work, I think.)
